Your Free Guide to Social Security Earnings Records

What Your Social Security Earnings Record Contains

Your Social Security earnings record is a detailed history of all wages you've earned throughout your working life. This record is maintained by the Social Security Administration (SSA) and forms the foundation for calculating your future retirement benefits, disability benefits, and survivor benefits. The earnings record includes information dating back to 1937, though records before 1951 are stored differently and may be harder to access.

The record shows your earnings for each year you worked and paid Social Security taxes. It includes wages reported by your employers under your Social Security number. The SSA uses these reported wages to calculate your Primary Insurance Amount (PIA), which determines the base amount you would receive as a benefit. For 2024, the Social Security tax rate is 6.2% for employees on earnings up to $168,600, and employers also contribute 6.2% on your behalf.

Your earnings record displays the following information for each year: the calendar year, your reported wages, your self-employment income (if applicable), Medicare wages (which may differ from Social Security wages), and railroad retirement wages if you worked for a railroad. The record also shows whether Social Security taxes were withheld correctly. Some workers have gaps in their earnings history—years when they didn't work or earned income that wasn't subject to Social Security tax, such as certain government employment.

Understanding what appears in your earnings record matters because errors can reduce your future benefits. The SSA uses your 35 highest-earning years (indexed for inflation) to calculate retirement benefits. If your record contains mistakes—such as wages credited to the wrong person, missing wages, or incorrectly reported amounts—your benefit calculation could be significantly lower than you deserve. One study found that approximately 1 in 25 people over age 60 have errors in their Social Security records.

Practical Takeaway: Your earnings record directly impacts your future benefit amount. Every year of earnings, especially your highest-earning years, contributes to the calculation. Reviewing your record regularly helps catch errors early, when they're easiest to correct.

How to View Your Earnings Record Online

The Social Security Administration offers several ways to view your earnings record without leaving your home. The most straightforward method is creating an account on the Social Security website at ssa.gov. You can establish an account called "my Social Security" which provides secure online access to your earnings record and other important information.

To create your my Social Security account, visit ssa.gov and look for the "Sign In or Create an Account" option. You'll need to provide personal information including your name, date of birth, Social Security number, and email address. The SSA will ask you to verify your identity by providing answers to security questions based on your credit history and other personal details. This verification process protects your account from unauthorized access. The entire process typically takes 5-10 minutes.

Once your account is active, you can view several documents and information:

• Your complete earnings record dating back to 1951
• Your estimated retirement benefit based on current earnings
• Your estimated disability and survivor benefits
• Your Medicare coverage information
• Your Social Security Statement, updated annually

The online platform is available 24 hours a day, seven days a week, making it convenient to check your information whenever you want. The site uses encryption and security measures to protect your personal data. If you prefer not to use online services, you can request a paper Social Security Statement by mail, though this takes longer to receive.

For those who need additional help with account creation, the SSA provides telephone support at 1-800-772-1213 (TTY 1-800-325-0778). Local Social Security field offices also maintain computers where staff can show you how to view your information, though field office hours and availability vary by location.

Practical Takeaway: Setting up a my Social Security account takes minimal time and gives you permanent online access to your earnings record and benefit estimates. This single step eliminates the need to request records by mail or phone, and you can check your information as often as you wish.

How to Read and Understand Your Earnings Statement

When you view your earnings record, you'll see a list of years with corresponding wage amounts. Each row typically shows the calendar year in one column and your reported earnings in another. The earnings are shown as gross wages—the amount before taxes and deductions. These are the wages that Social Security used to calculate how much you and your employer contributed to the Social Security trust fund.

The numbers on your statement represent what employers reported to the SSA through W-2 forms and what you reported if you were self-employed. For most workers, these amounts should match what appears on their W-2 forms or tax returns from that year. It's common to see some variation in earnings year to year—periods of higher earnings when you worked full-time, lower earnings when you worked part-time, and years with no earnings if you were not working.

Understanding the context of your earnings record helps you spot problems. For example:

• A year showing $0 earnings when you know you worked that year indicates a possible error
• An amount significantly higher or lower than what appears on your W-2 suggests a reporting discrepancy
• An earnings amount that seems impossible for that year (such as $500,000 for a part-time job) signals a likely transcription error
• Missing years in the 1970s or 1980s when you definitely worked may indicate unreported wages

Your Social Security Statement also shows your estimated benefits at different ages. These estimates are based on your current earnings record and assume you'll continue to work and earn at roughly your recent average level. The statement typically shows three benefit scenarios: what you might receive at age 62 (if you take early retirement), your full retirement age (which ranges from 66 to 67 depending on your birth year), and age 70 (if you delay benefits).

Pay attention to the "Earnings Not Yet Reported" section if it appears on your statement. This indicates wages that employers have reported to the IRS but that the SSA hasn't yet added to your earnings record. The SSA typically processes these updates within 3-6 months, though delays can occur.

Practical Takeaway: Your earnings record is straightforward once you understand that each line represents one year of reported wages. Comparing these numbers to your W-2 forms or tax returns from the same years is the best way to spot errors quickly.

Identifying and Correcting Errors in Your Earnings Record

Errors in earnings records do occur and can happen in several ways. An employer might report your wages under the wrong Social Security number—perhaps due to a data entry mistake or if you changed your name and didn't update it with your employer. Your name might be spelled incorrectly in SSA records, causing a mismatch with employer reports. Wages might be reported under a name you no longer use, making them difficult to locate. In some cases, employers fail to report certain wages entirely, leaving gaps in your earnings history.

The best time to catch errors is as soon as possible after earning the wages. However, the SSA allows you to report errors dating back to previous years. The timeframe for correcting errors is generally three years, three months, and 15 days after the end of the year in which the wages were earned, though some exceptions exist for certain situations.

To correct an error, gather the following information:

• Your W-2 form from the year in question (or a copy from your employer if you no longer have the original)
• Pay stubs or other wage documentation showing your earnings
• A written explanation of the error you believe exists
• The employer's name and address from that year

Once you have this documentation, contact the SSA. You can report errors through your my Social Security online account, by calling 1-800-772-1213, or by visiting a local Social Security office in person. Provide specific details: the year the error occurred, the amount that was reported versus what should have been reported, and supporting documentation. Include copies of documents (never originals) with your request.

The SSA will investigate your claim by contacting the employer to verify the
